What data we process

Data you actively provide. When you complete the purchase enquiry form or contact us by e-mail, phone, WhatsApp or Viber, we process:

  • name and, if given, company
  • e-mail address and/or phone number
  • vehicle details (make, model, year, mileage, condition and, if available, the chassis number)
  • photos of the vehicle you upload
  • your free-text notes and the language of your enquiry

Providing this data is voluntary. Without at least one means of contact, however, we cannot answer your enquiry.

Data collected automatically. When you visit the website, our hosting provider stores technically necessary details in server log files: IP address, date and time, page requested, browser type and operating system. This data serves solely the secure operation of the website and is not combined with other sources. To prevent abuse, we also store the IP address together with enquiries submitted via the form or the chat.

Purpose and legal basis

  • Handling and answering your purchase enquiry — preparation and performance of a contract
  • Contacting you with follow-up questions — legitimate interest in conducting business
  • Secure operation of the website — legitimate interest in IT security
  • Compliance with statutory retention duties — legal obligation

No automated decision-making or profiling takes place.

Retention periods

  • Enquiries that do not lead to a purchase: deleted as soon as they are no longer needed for processing, including the photos you sent and the chat history.
  • Enquiries that lead to a purchase: these become business records and are retained for ten years under Art. 958f CO.
  • Server log files: around 30 days, then deleted automatically by the hosting provider.

Disclosure of data

We do not sell personal data and do not pass it on for advertising purposes. Disclosure is made only to:

  • Infomaniak Network SA, Geneva, Switzerland — hosting of the website and of our e-mail mailbox. The website, the server log files and the enquiries from the form and the chat, which are delivered to us by e-mail, are stored exclusively in Switzerland.
  • OpenAI, only if you use the chat — see the section “AI assistant (chat)”.
  • CheckNumber (checknumber.ai, Singapore) — only if you choose WhatsApp as your contact method in the chat: your phone number is sent without your name or any other details, to check whether WhatsApp is active on it. Singapore does not have an adequate level of data protection recognised by the Swiss Federal Council; the transfer is directly connected with the conclusion of the contract you are seeking (Art. 17(1)(b) revFADP).
  • public authorities, where we are legally obliged to do so.

AI assistant (chat)

The website offers a chat assistant that helps you complete a purchase enquiry. Using it is optional; you can make the same enquiry at any time via the form, by e-mail or by phone.

Your messages and the photos uploaded in the chat — including a photo of the vehicle registration document, which may contain personal data — are sent to the OpenAI service (OpenAI Ireland Ltd., Dublin, Ireland, and OpenAI, L.L.C., USA) to generate replies. Processing in the USA may take place; the transfer is based on the European Commission’s standard contractual clauses, recognised by the FDPIC. According to OpenAI, data sent via the programming interface is not used to train models and is kept for at most 30 days to detect abuse.

We store the chat history together with your enquiry so that we can process it. Please do not enter information in the chat that is not needed for the enquiry.

Cookies and analytics

This website uses no cookies for analytics or advertising. No services such as Google Analytics or Google Tag Manager are embedded. For this reason no cookie banner is required.

Your rights

Within the limits of applicable law you have the right to information, rectification, erasure, restriction of processing, data portability in a common electronic format, objection to processing, and to withdraw a given consent at any time.

Please contact info@rhein-camion.ch. For security we may request proof of identity.

You also have the right to lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC). Visitors from the EEA may contact their competent supervisory authority.

Data security

The website is delivered exclusively over encrypted HTTPS. Your enquiries and uploaded photos are transmitted encrypted and stored in a non-public area. Access is limited to the staff who handle the enquiry.

Changes

We may adapt this privacy policy if our processing or the legal requirements change. The version published on this website at the relevant time applies.
